10 Most Common Office 365 Problems and How to Fix Them

From activation errors to sync issues — the most frequently reported Office 365 problems and their proven solutions.

Office 365 is a powerful suite, but like any software it can run into issues. Here are the ten most common problems users report and how to resolve them.

1. Activation errors: If Office shows 'Product Activation Failed', sign out of all Office apps and sign back in with the correct Microsoft account. Use the Microsoft Support and Recovery Assistant at aka.ms/SaRA to diagnose activation issues automatically.

2. Outlook not syncing: Check your internet connection first. Then go to File > Account Settings and verify your email account settings. If the issue persists, try removing and re-adding your email account.

3. OneDrive sync errors: Click the OneDrive icon in the system tray and check for error messages. Common fixes include pausing and resuming sync, signing out and back in, or resetting OneDrive via the command line.

4. Office apps crashing: Update Office to the latest version via File > Account > Update Options > Update Now. If crashes continue, repair the Office installation via Control Panel > Programs > Microsoft 365 > Change > Quick Repair.

5. Cannot install Office: Ensure your device meets the minimum requirements. Use the Microsoft Support and Recovery Assistant to remove any previous Office installations before reinstalling.

6. Teams audio or video not working: Check your device's microphone and camera permissions in Windows Settings > Privacy. Ensure Teams is allowed to access both. Update your audio and video drivers if the issue persists.

7. Subscription showing as expired: Sign in to account.microsoft.com and check your subscription status. If payment failed, update your payment method and retry the charge. Contact 1-800-msn if the subscription shows active but Office still prompts for renewal.

8. Forgotten password: Use the self-service password reset at login.microsoftonline.com. See our dedicated password reset guide for full instructions.

9. Office running slowly: Close unused tabs and applications. Disable add-ins via File > Options > Add-ins. Consider upgrading your device's RAM if performance issues are persistent across multiple apps.

10. Cannot access shared files: Check that the file owner has granted you the correct permissions. If you are accessing a SharePoint or Teams file, ensure you are signed in with the correct organisational account.
